What is HR Employees?
HR Employees, your on-line Human Resource and Billing Manager, provides
a complete solution to your HR and Billing departments requirements by
maintaining the employees, clients, projects, training information and
generating billing invoices. HR Employees stores your employees'
timesheets information and generates invoices automatically based on the
billing rates specified for the specific project task and effort level.
HR Employees helps the management in the decision making process by generating
employee billing and profit ratio statistics, and employee training requirements.
What are the main features
of HR Employees?
HR Employees main features include:
- maintain employee personal information, resumes, work history, timesheets,
training information, performance appraisal and salary reviews
- Scan resumes and maintain the employee skills list
- maintain client information, along with their contact personnel information
- maintain project information including various tasks in the project
- maintains billing rates information for each billing type of a task in
a project
- generate invoices using the timesheets information automatically
- maintain employee training information and help management in scheduling

- allows to store any external file within HR Employees eliminating individual

What are the minimum requirements
for HR Employees?
HR Employees can run either on Windows 95 or NT with at least 8 MB
of RAM and at least 20 MB free disk space. However, 16 MB of RAM, 100 MHz
speed processor and at least 25 MB free disk space are highly recommended.
The speed of HR Employees depends on the speed of your system and amount
of data you are processing.If required, HR Employees can be customized
to run on Windows 3.x also.
Where can I use HR Employees?
HR Employees can be used by the human resources and billing departments
of a variety of industries and businesses including computers, advertising,
medical, engineering, employment agencies, consulting services providers,
referral agencies, etc.
Does HR Employees come with
a pre-built database?
HR Employees has a customized database where it stores all the information
you provide to the system. The database is empty when you install the system.
How does HR Employees work
with resumes?
HR Employees is capable of storing all the resumes and any other documents
and/or files inside the database as long as you have the software to open
the document and/or the file. HR Employees calls the client software (such
as MS Word, Word Perfect, etc., depending on the file type) and open the
document or file you want to access. HR Employees provides you with full
capabilities of the client software including any macros, printing, etc.
This eliminates keeping several individual files on your hard disk.
HR Employees provides the access to any of these files, allows you to edit
them as required as save them back to the database. If required, these
files can be saved back to the hard disk as an individual file.
How does HR Employees work
with resume scanning? What are the resume scanning capabilities of
HR Employees?
You can scan the employees' resumes for the skills. The HR
Employees Scanner uses MS Word (for files other than text and rich text
formats) in the background to open the file and scan the resume for the
skills listed in the master skill list stored in the database.
HR Employees has in-built capability to scan text and rich text format
resumes for skills without MS Word. You must update the master skill
list by selecting ParametersEdit Skill List menu item. Once the skills
listed in the master skill list, the HR Employees scanner picks up all
the matching skills from the resume.
Scanning also stores the employees' resume in the database which can
be accessed from the employee's data entry/modify screen.
Note that HR Employees scanner requires that you have MS Word installed
on your system. Also note that if you are using a different word
processing tool such as WordPerfect, etc, HR Employees can be customized
to scan the resumes using your choice of word processing tool.
How does HR Employees work
with other documents or files scanning?
HR Employees is built with capabilities to store any documents or files
such as contract documents, brochures, etc. with in HR Employees database
as long as you have the software that works with the file types.
HR Employees uses OLE 2.0 (Object Linking and Embedding) protocol to invoke
the client software to achieve this task.
Can I install HR Employees
on the network?
HR Employees is a network ready to install software. You can install
HR Employees on the network and have many users access the application
and work with the central database. This provides access to a single database
to many users. You will need to acquire the SQL
Anywhere database server and client software from Sybase/PowerSoft
Corporation and additional licenses for HR Employees from Ray Solutions
As a free gift to the network customers, Ray Solutions provides a free
utility to enable the employees to enter the timesheets directly in HR
Employees. This utility provides access only to the timesheets of
the logon employee by using the employee's last name as the user ID to
enter the system.
How does HR Employees handle
in-house projects and overhead charges?
HR Employees comes with pre-loaded record to maintain your company
and your company contacts. You will not be able to delete this record.
You can add as many contacts as required to this record.
HR Employees also comes with a pre-loaded project record with Project
ID "0". This project is reserved for your in-house projects and overhead
charges. You may add as many tasks as required to this project ID
to handle all in-house projects and overhead accounts. The time sheet
hours charged to this project ID (project ID: 0) will not be available
for invoicing.
How does HR Employees work
with timesheets?
HR Employees stores all employees weekly timesheets internally for
each project, task and work day. You can modify these timesheet charges
as long as they are not invoiced to the client. HR Employees puts
special attention to the overhead charges so that they cannot be charged
to the client.
How can I generate invoices
and track the payments?
HR Employees is built with capabilities to dynamically generate the
invoices. The invoice generation is a two step process. First
of all, HR Employees shows all timesheet entries charged for the selected
project up to the specified date that have not been invoiced. At
this time, HR Employees gives you the opportunity to select the timesheet
entries you want to include in the current invoice. Then, at one
click button, the invoice is generated with the client name, address, all
invoice entries and total amount based on the billing rates for the tasks.
How does HR Employees E-mail
works?
The HR Employees Universal E-mail interface provides a universal client
interface for sending and receiving network E-mail using your underlying
mail system. The comprehensive capabilities of the Universal E-mail
include:
- Send and Receive e-mails from within HR Employees without opening your
e-mail clients.
- E-mail the candidates resumes to your contacts from within the reports.
- E-mail the candidates, clients, and contacts from the data entry screens.
- Save the e-mails received from your clients within the HR Employees database
for future use.
The Universal E-mail supports the following E-mail interfaces and protocols:

SMTP/POP – The Internet mail protocols. SMTP (Simple Mail
Transport Protocol) is used for mail send. POP (Post Office Protocol)
is used for mail receive. Universal E-mail supports v3.0 of POP.
Universal E-mail is fully MIME (Multi-part Internet Mail Extension) compliant
on send and receive.

VIM – Vendor Independent Messaging used by products such as Lotus
cc: Mail and Lotus Notes.

MAPI – Messaging Application Program Interface supported by Microsoft
products such as Microsoft Exchange, Novell GroupWise, and others.

Active Messaging – Active Messaging is a robust API that replaces
MAPI on newer mail systems, especially Microsoft products. It is
an object-based interface to Extended MAPI.

Unsupported Mail Systems – Universal e-mail is not compatible (does
not support) America Online (AOL), CompuServe, Prodigy, IBM Profs.
These e-mail systems use their proprietary protocols.
In the data entry screens, double-click on the e-mail address to open up
the new mail dialog box with the e-mail address in the to box to allow
you to send an e-mail. From the reports, click on the e-mail button
(where available) to send the e-mail as appropriate. Then, enter
the message and other information as appropriate and click on the Send
button to send the e-mail.
What kind of reports can I
generate with HR Employees?
HR Employees generate about 20 standard reports including the timesheet
reports, employee statistics, invoice statistics, training session statistics,
etc. You can generate unlimited custom reports based on the criteria you
enter.
What kind of security features
are available with HR Employees?
HR Employees comes with a standard logon screen and only the users
with proper user ID and password can enter the system. HR Employees also
provide data security even after a user enters into the system. With HR
Employees you can restrict user from modifying data, restrict access to
certain modules of the system.
What kind of help is available
with HR Employees?
HR Employees comes with a complete on-line help. Free phone, fax and
e-mail support is provided for installation problems for all customers.
Free unlimited technical support is provided through e-mail and fax services
for registered customers.
How do I obtain license for
HR Employees?
HR Employees license can be obtained by making appropriate payment to Ray Solutions.
HR Employees license is available as "per user" basis. If you are going to
install it on the network, you need to obtain database server and clients
from Sybase/PowerSoft Corporation directly.

How can I customize HR Employees
to suit my requirements?
HR Employees comes with full backup from Ray Solutions When you
open HR Employees for the first time, a customization screen appears requesting
your organization name and a logo bitmap file which will be used on all
the reports. Ray Solutions will be happy to customize HR Employees, in
case your organization requires specific changes to made to suit your requirements.

Can I import data from spread
sheets into HR Employees?
Ray Solutions, offers services to import your data from the spread
sheets. Data from the spread sheets needs to be formatted to suit the database
format and then can be imported into the HR Employees database. Once you
have imported data from spread sheets, you can access the data from within
HR Employees. For more information on importing data from spread sheets

How can I obtain the upgrade
information for HR Employees?
After you register with Ray Solutions, you will be notified about all
upgrades to the system.
How do I enter the trial version
of HR Employees?
To enter the trial version, use user ID "guest" and password "guest".
It is strongly suggested that you change the password as soon as possible.
Refer to on-line help on how to change the password.
I have just downloaded the
software and installed. I get a message stating that software is
expired and then the program is closed automatically. How do I get
around this message?
HR Employees is built with a database that will not allow to use the
same database for more than 30 days on trial versions. This problem
may occur most likely with the international users outside United States.
