What is HR Suite?
HR Suite assists in scanning resumes for candidate skills (see question 7 for more information), maintains the profile and history of prospective candidates, clients and skill requirement details. HR Suite provide assistance in the decision making process for recruiting the consultants, assigning the consultants to clients based on the job requirements. HR Suite is built with capabilities to enter new candidates, clients, and contacts, store resumes within database, modify candidate information including skills, and client requirements, and generate reports matching user entered criteria.

What are the main features of HR Suite?
The salient features of HR Suite are

  • Scan candidate's resumes for obtaining the information on candidate skills (See question 7 for more details).
  • Maintain candidates' skills, education, experience and preferences.
  • Store the resumes of candidates at one place within the database eliminating individual files on your hard disk. If required, HR Suite allows modifying and saving them to external file formats.
  • Maintain clients and contacts' profiles and their requirements.
  • Search through the database for candidates possessing specific skills and experience.
  • Search through the database for clients and contacts looking for candidates possessing specific skills and experience.
  • Generate reports matching candidate skills with the client requirements.
  • Data security at every level to save the data from being modified by unauthorized persons.
  • Send and receive e-mail from within HR Suite.
  • Maintain your daily events and schedules with visual calendar.
What are the minimum requirements for HR Suite?
HR Suite can run either on Windows 95 or NT with at least 8 MB of RAM and at least 20 MB free disk space. The speed of HR Suite depends on the speed of your system and amount of data you are processing. If required, HR Suite can be customized to run on Windows 3.x also.

Where can I use HR suite?
HR Suite can be used by the human resources departments of a variety of industries and businesses including computers, advertising, medical, engineering, employment agencies, consulting services providers, referral agencies, etc.

Does HR Suite come with a pre-built database?
HR Suite has a customized database where it stores all the information you provide to the system. The database is empty when you install the system.

How does HR Suite work with resumes?
HR Suite is capable of storing all the resumes and any other documents and/or files inside the database as long as you have the software to open the document and/or the file. HR suite calls the client software (such as MS Word, Word Perfect, etc., depending on the file type) and open the document or file you want to access. HR Suite provides you with full capabilities of the client software including any macros, printing, etc.

This eliminates keeping several individual files on your hard disk. HR Suite provides the access to any of these files, allows you to edit them as required as save them back to the database. If required, these files can be saved back to the hard disk as an individual file.

How does HR Suite work with resume scanning? What are the resume scanning capabilities of HR Suite?
You can scan the candidates' resumes for the skills. The HR Suite Scanner uses MS Word in the background to open the file and scan the resume for the skills listed in the master skill list stored in the database. You must update the master skill list by selecting Edit Skill List menu item from the initial screen or by selecting Edit Skills menu item from the candidate screen. Once the skills listed in the master skill list, the HR Suite scanner picks up all the matching skills from the resume.

Scanning also stores the candidates' resume in the database which can be accessed from the candidates' data entry/modify screen.

Please note that HR Suite scanner requires that you have MS Word installed on your system. Also note that if you are using a different word processing tool such as WordPerfect, etc, HR Suite can be customized to scan the resumes using your choice of word processing tool.

How does HR Suite work with other documents or files scanning?
HR suite is built with capabilities to store any documents or files such as contract documents, brochures, etc. with in HR Suite database as long as you have the software that works with the file types. HR Suite uses OLE 2.0 (Object Linking and Embedding) protocol to invoke the client software to achieve this task.

Can I install HR Suite on the network?
HR Suite is a network ready to install software. You can install HR Suite on the network and have many users access the application and work with the central database. This provides access to a single database to many users. You will need to acquire the SQL Anywhere database server and client software from Sybase/PowerSoft Corporation.

How does HR Suite E-mail works?
The HR Suite Universal E-mail interface provides a universal client interface for sending and receiving network E-mail using your underlying mail system. The comprehensive capabilities of the Universal E-mail include:

  • Send and Receive e-mails from within HR Suite without opening your e-mail clients.
  • E-mail the candidates resumes to your contacts from within the reports.
  • E-mail the candidates, clients, and contacts from the data entry screens.
  • Save the e-mails received from your clients within the HR Suite database for future use.
The Universal E-mail supports the following E-mail interfaces and protocols:
  • SMTP/POP – The Internet mail protocols. SMTP (Simple Mail Transport Protocol) is used for mail send. POP (Post Office Protocol) is used for mail receive. Universal E-mail supports v3.0 of POP. Universal E-mail is fully MIME (Multi-part Internet Mail Extension) compliant on send and receive.
  • VIM – Vendor Independent Messaging used by products such as Lotus cc: Mail and Lotus Notes.
  • MAPI – Messaging Application Program Interface supported by Microsoft products such as Microsoft Exchange, Novell GroupWise, and others.
  • Active Messaging – Active Messaging is a robust API that replaces MAPI on newer mail systems, especially Microsoft products. It is an object-based interface to Extended MAPI.
  • Unsupported Mail Systems – Universal e-mail is not compatible (does not support) America Online (AOL), CompuServe, Prodigy, IBM Profs. These e-mail systems use their proprietary protocols.
In the data entry screens, double-click on the e-mail address to open up the new mail dialog box with the e-mail address in the to box to allow you to send an e-mail. From the reports, click on the e-mail button (where available) to send the e-mail as appropriate. Then, enter the message and other information as appropriate and click on the Send button to send the e-mail.

How do I match client requirements with candidate skills?
Once you have entered the candidate skills, and years of experience, you can search the database for the candidates possessing particular skills and years of experience in each skill and generate a report with the candidate possessing the required skills. The list can be generated only with the candidates possessing all the required skills or possessing any one of the required skills.

Also, if you have entered the client contact requirements, you can generate list of candidates matching the contact’s requirements.

What kind of reports can I generate with HR Suite?
Apart from standard reports, you can generate unlimited custom and dynamic reports based on the criteria you enter.

What kind of security features is available with HR Suite?
HR Suite comes with a standard login screen and only the users with proper user ID and password can enter the system. HR Suite also provides data security even after a user enters into the system. With HR Suite you can restrict user from modifying data, restrict access to certain modules of the system.

What kind of help is available with HR Suite?
HR Suite has a complete on-line help. Free telephone and fax services are provided for installation problems for all customers. Free unlimited technical support is provided through e-mail and fax services.

How do I obtain license for HR Suite?
HR Suite license can be obtained by making appropriate payment to Ray Solutions. HR Suite license is available as "per user" basis. If you are going to install it on the network, you need to obtain database server and clients from Sybase/PowerSoft Corporation directly.

How can I customize HR Suite to suit my requirements?
HR Suite comes with full backup from Ray Solutions. When you open HR Suite for the first time, a customization screen appears requesting your organization name and a logo bitmap file that will be used on all the reports. Can I import data from spreadsheets into HR Suite?
Ray Solutions offers services to import your data from the spreadsheets. Data from the spreadsheets needs to be formatted to suit the database format and then can be imported into the HR Suite database. How can I obtain the upgrade information for HR Suite?
After you register with Ray Solutions, you will be notified about all upgrades to the system.

How do I enter the trial version of HR Suite?
To enter the trial version, use user ID "dba" and password "sql". It is strongly suggested that you change the password as soon as possible. Refer to on-line help on how to change the password.

I have just downloaded the software and installed. I get a message stating that software is expired and then the program is closed automatically. How do I get around this message?
HR Suite is built with a database that will not allow using the same database for more than 30 days on trial versions. This problem may occur most likely with the users outside United States. If you are a user outside of United States, please contact Ray Solutions to obtain appropriate solution.
